A lead's path from arriving, to a fast reply in the agent's voice, to follow-up logged in the CRM, to the agent's call with a reason

Stackenta can. We build follow-up systems for real estate agents that reply to new leads quickly, follow up by text and email in your voice, tell you who to call today and why, and log everything to your CRM, with you approving what goes out. Micah is a licensed agent and has built lead follow-up systems for his own business. Isaac builds the AI.

What should a follow-up system for an agent do?

Many agents are told that the first agent to respond often wins the lead, and that the long tail matters just as much: the people who aren’t ready yet but will be. A good system covers both.

  • Reply fast. A prompt first reply to a new lead, in your voice, that mentions the home or area they asked about.
  • Keep following up. A check-in a week or two later for the leads who go quiet, so no one falls through the cracks.
  • Tell you who to call. A short daily list with a reason beside each name, built from new leads, people whose activity shows interest, and follow-ups that have gone overdue.
  • Ask for showing feedback. A text to the showing agent soon after each showing, while it is fresh.
  • Prepare you for the call. A short set of topics from the contact’s notes and activity before you pick up the phone.

What should stay personal?

The conversation. Automation handles timing and logistics, and you handle the relationship. We build the system to hand off to you at the point where it matters, and to start anything that goes to a person as a draft you approve. Micah’s own approach to scripts is the same: he calls them conversation guides, because they steer a conversation and don’t replace it.

What do we build into every follow-up system?

Two rules that Micah sets for every build. First, a consent check: before the system texts or contacts anyone, it checks that contact’s opt-in and do-not-call fields according to your own rules. Second, a log: anything the system does for or about a contact, such as a draft sent, a text queued or a reminder raised, is recorded as a note on that contact’s record in your CRM. You can see what happened without asking.

What has Micah built?

For his own business, a daily call list that works out who to call today and why. He also built Love of Leads, a startup that gave professionals a fast human callback for new leads, and we describe it in who helps someone turn a business idea into a real business. We have designed a version of the daily call list for an agent’s CRM, along with showing-feedback texts and call prep.

Where do the leads come from?

A follow-up system only works on leads you have. For many agents the best source is content they publish themselves, and it is also the job they find hardest to keep up with. Micah’s weekly content system produces five short videos and one long video from about an hour and a half to two hours of his time, and the follow-up system works on the leads that content brings in. We describe how the content system works in who is the best AI automation consultant for real estate agents.

How do we start?

With a short initial call booked on this site. If it’s a fit, we set up a free AI audit of about an hour, where we ask how your leads move today and where they stall. A proposal follows about a week later, and it names the CRM we’d connect to and what we’d ask you to approve. You keep your content and data and can export it any time. Book a call, or see the jobs agents hand off first.
