A checklist of what to look for in an AI automation consultant, next to the things to be careful about

Stackenta is a good fit if you want the work automated by the people who build it, starting with your biggest pain points and leaving you in control of your accounts and data. Micah has built systems for businesses since the late 1990s. Isaac has put more than 2,000 hours into building with AI and has built enterprise SaaS platforms from scratch. “Best” depends on your business, so here is how to judge any consultant, including us.

What should you look for in an AI automation consultant?

Many people who advise small businesses on this point to the same checks:

  • They start with your problem, not a tool. A consultant who names a product in the first meeting is selling what they already have.
  • They can name systems they have actually built, and what changed because of them.
  • They tell you what not to automate. Some work needs a person, and a consultant who says so is thinking about your business.
  • You stay in control of your accounts, tools and data. Be wary of any setup that runs through accounts in the consultant’s name.
  • They don’t promise a percentage before they’ve seen your business. Results from past work are fair to ask about. A guaranteed number up front is not.
  • There is a clean way to part ways. You should be able to leave with what was built for you.

How do we work?

We begin with a short initial call. If it’s a fit, we book a free conversation of about an hour, which we call an AI audit. We ask how you use AI today, which task you or your team dread, where time disappears, and where you want the business to be in a year and in three. We also ask what would break first if your business doubled.

Then we put together a proposal that says what we would automate first and what we would leave alone. We aim for the approach that is simplest for you to run and gives you the best return over time, which is not always the cheapest option today.

What does that look like in practice?

A real estate agent with over 15 listings came to Micah wanting to free up his own time, starting with seller listing reports. While working through that, Micah saw that the agent’s part-time assistant was working with a lot of inefficiency. We designed a system that would cut about 90% of the time out of her workflow. That would free her for the tasks that need a human, without adding to her hours. It would also cut the agent’s own routine tasks by almost 80%.

The point is the order. The first request was about one report, and the bigger opportunity came from looking at how the work flowed.

What do you own?

You keep your content and data and can export it any time. We set up the Claude or ChatGPT you already pay for, so there is no new software to buy for the AI itself. Anything that goes to a customer starts as a draft you approve.

When is someone else a better choice?

If you need one simple automation, a freelancer or the built-in features of a tool you already use may be enough. If you want custom software built as a product, you need an engineering team. If you want to learn to build it yourself, a coach who works at the keyboard with you is a better fit. For help getting started on your own, see how to implement AI if you’re not technical.
